Estate Office Manager, Nr Reading

Shire & Wold has the pleasure to be working with a Private Estate on the outskirts of Reading to find a forward thinking Office Manager.

RESPONSIBLE FOR:
Property management
Estate administration
Events – in liaison with the relevant department lead
Personal assistant to estate partners and estate manager

SPECIFIC RESPONSIBILITIES

Property management:
• Act as the first point of contact for residential and commercial tenants
• Manage property maintenance including contractors and diary
• Use key prime property software to manage rent, rent reviews and safety checks
• Undertake marketing and advertising of residential and commercial tenants, show round potential tenants, book check-ins and check-outs, in liaison with the commercial agent
• Work with the estate manager on rent and service charge reviews
• Prepare and administrate signing of residential property paperwork including ASTs, registration of deposits, background checks and welcome letters
• Liaise with commercial agent and solicitors as needed for the preparation and administration of commercial property paperwork, and issue welcome letters.

Estate Administration:
• Reception duties – meet and greet, phone-calls and messages
• Post – receipt, distribution and outgoing.
• Maintain office supplies, equipment and IT.
• Filings and archive maintenance.
• Employee records – including absence, probation reviews, pay reviews.
• Create employment contracts and ensure pension papers, company handbook, and department health and safety documents are sent to new staff.
• Ensure all estate vehicles are insured and maintained in line with law
• Support the estate manager in complying with health and safety checks including fire and burglar alarm systems/checks, PAT-testing and other regular maintenance and safety checks required across the estate.
• Offer support and respond to reasonable requests from colleagues as required including support of the housekeeping team.

 Events:
• Shoot admin: bookings, calendar, contracts and invoicing
• Shoot hospitality: staffing, menus, shoot cards, meet and greet
• Shoot: Invite and manage private shoot guests on behalf of client
• Liaise with the gamekeeper, senior housekeeper and chefs for all shoot day arrangements
• Horse trials admin: advance bookings of emergency services, suppliers, trade in stands, volunteers and catering.
• Horse trials weekend: be present as event secretary for the horse trials weekend
• Other events: manage and coordinate filming and other events as requested by the estate manager

Salary: £37,500 – £40,000
Holiday: 23 + statutory Bank Holidays
Working hours: Monday – Thursday 08:30-16:30 with 30 mins for lunch and Friday 08:30-15:30 = 36.5 hours a week
Pension: 5% employee and 3% employer
